Clear operating rules
These pages explain how the service is intended to be used and how customer data is handled inside VoxsAgents.
1. Information we collect
We collect account information such as name, email address, authentication details, organization details, role, settings, and subscription status.
When you use AI voice agents, we may process call metadata, caller phone numbers, transcripts, summaries, appointment details, agent configuration, business hours, notification settings, usage records, and related workflow data.
We may also collect technical data such as device information, IP address, browser details, log events, analytics events, and error reports.
2. How we use information
We use information to provide the service, authenticate users, operate AI voice agents, process calls, create transcripts and summaries, manage appointments, send notifications, calculate usage, process billing, and support the workspace.
We also use information to maintain security, prevent abuse, debug issues, improve features, measure performance, and comply with legal obligations.
3. AI processing and call content
Call content may be processed by AI and voice infrastructure providers so the agent can understand callers, respond, summarize conversations, and support booking workflows.
You are responsible for telling callers about recording, AI use, privacy practices, and consent requirements where required by law or industry rules.
Avoid collecting sensitive personal information unless your organization has a lawful basis and appropriate safeguards for that data.
4. Sharing with service providers
We may share information with service providers that help us run the platform, including hosting, database, voice, AI, email, analytics, logging, payment, security, and customer support providers.
These providers are allowed to process information only as needed to provide services to VoxsAgents or as otherwise permitted by their agreements and applicable law.
5. Billing and payments
Payment information may be handled by third-party payment processors. VoxsAgents does not need to store full card numbers to manage subscriptions, invoices, usage billing, or payment status.
Billing records may include plan, usage, invoice, tax, and transaction metadata.
6. Data retention
We keep information for as long as needed to provide the service, maintain records, meet legal obligations, resolve disputes, prevent abuse, and support business operations.
Workspace owners may be able to delete or update certain data through the product. Some records may remain in backups, logs, invoices, or audit trails for a limited period.
7. Security
We use reasonable technical and organizational measures to protect information. No system can be guaranteed completely secure, so you should use strong passwords, limit workspace access, and review notification recipients carefully.
8. Your choices
You can update account and organization settings in the dashboard. Depending on your location, you may have rights to access, correct, delete, export, or restrict certain personal information.
To make a privacy request, use the contact channel provided in your workspace or by your account owner.
9. Changes to this policy
We may update this Privacy Policy as the product, providers, laws, or business operations change. The updated date shows when the latest version took effect.
